A Recruiter's Guide to Posting Jobs and Tracking Applicants with a Hiring Pipeline
Why email-and-spreadsheet hiring breaks down past a handful of applicants, and how PrepPro for Business's applicant Kanban board — Applied, Screening, Interview, Offer, Hired — replaces it.
The problem with tracking applicants over email and spreadsheets
A single job posting on any public board routinely draws dozens of applications within days. Past about ten, an inbox stops being a hiring tool and becomes an archive nobody can search. Whoever is not cc'd loses context on where a candidate stands; a promising résumé buried under newer ones gets forgotten; and "where are we with this role?" becomes a question that needs a meeting to answer instead of a five-second glance at a board.
How PrepPro's applicant Kanban board works
Every job you post gets its own board with six columns: Applied, Screening, Interview, Offer, Hired, and Rejected. Each candidate is a card carrying their résumé link, screening-exam score if the role has one, and any verified skill credentials they hold — everything you need to judge them without opening five other tabs. Drag a card to the next column as they progress; the board remembers the order within each column across page reloads, so nothing resets just because you closed your browser. Whoever finished a screening exam is placed automatically, saving you the one manual step that email-based hiring always misses.
Posting your first job
Register your organization, open the Jobs tab in your business dashboard, and fill in the same fields as any job listing — title, description, location, salary range, employment type. Every employer-posted job is briefly reviewed before it goes live on the public board, the same quality gate every listing on PrepPro passes through. New organizations pay a small one-time fee per job; organizations that post regularly can instead move to an unlimited monthly plan that also unlocks bulk applicant CSV export — check your Billing page for current pricing, since it is admin-configurable and may change.
